Freeze requests rarely show up on a budget line, but they eat front desk time every day: reading the email, checking the policy, updating billing, setting a reminder to resume, then fielding the follow-up when the member is charged early or forgets to restart. Multiply that by a few hundred members and the hours add up to a real cost that nobody signed off on.

This calculator turns your member count and freeze request rate into a monthly request volume, then multiplies by the handling and follow-up minutes you enter to get staff hours and cost. It also estimates the yearly savings if a self-serve form and automatic resume remove the share of that work you specify. The minutes are yours to set, so time a handful of real requests before trusting the result.

How to use this tool

  1. Enter your active member count and last month's freeze requests expressed per 100 members.
  2. Time three or four real requests from first email to closed ticket, including any follow-ups, and enter the averages along with your loaded hourly staff cost.
  3. Set the share of work a self-serve flow would remove, then read the monthly hours, cost and yearly savings. Lower the automation share if you expect staff to keep reviewing every request.

What the math assumes

  • The request rate, handling minutes and follow-up minutes are all values you enter; the defaults are placeholders, not industry benchmarks.
  • Every request takes the same amount of time; unusual cases such as medical freezes or disputes are averaged into the minutes you enter.
  • Staff time is valued at the loaded hourly cost you enter and is assumed to be reusable for other work once freed.
  • Savings equal the automation share applied to the total handling cost; the subscription cost of any software is not deducted.
  • The yearly figure multiplies one month by 12 with no seasonal variation in freeze volume.

Frequently asked questions

Why count follow-up time separately from the initial request?

Because the first touch is usually the short part. Reminders to resume, early charges, extension requests and the member calling to ask what happened often take longer than the original freeze, and they are the work a self-serve flow removes most reliably.

What automation share is realistic?

It depends on how strict your policy is. If most freezes fit clear rules such as a fixed maximum length and no documentation, a high share can be handled without staff. If many require a manager decision, keep the share lower.

Does the calculator include the cost of freeze management software?

No. It reports gross savings so you can compare them with whatever a tool costs. Subtract the yearly subscription yourself to see the net figure.
