Membership Freeze Policy Decision Worksheet

A one-page worksheet that walks a gym owner through every rule a freeze policy has to answer, with a fairness test and a sustainability test for each one.

A freeze policy has to answer a short list of questions: who can freeze, for how long, how often, with how much notice, at what cost, and what happens when the freeze ends. Most policies that cause arguments at the front desk are not unfair so much as unfinished. One or two of those questions were never answered, and each staff member fills the gap differently. This worksheet lists every question in one place so nothing is left to memory.

Fill in your current rule for each row, then apply the two tests from our guide: would a reasonable member consider the rule fair if they read it before joining, and could the business survive if every member used it to the maximum? Where the answer to either is no, write a better rule in the final column and note where members will see it. The commonly seen approaches are starting points drawn from how gyms typically structure these rules, not recommendations; your market, contract terms, and margins decide what is right for you.
